As a Data Entry Clerk – MSO Operations Specialist, you will be the critical link that ensures every work order is captured precisely, warranty claims are validated, and our customers receive the seamless support they expect from a market leader like arenaflex.

Role Overview

This full‑time position is based in our modern office environment and focuses on entering, reviewing, and tracking work orders for dental and laboratory handpieces. You will collaborate closely with the Customer Service team, vendors, and internal stakeholders to maintain data integrity, support warranty fulfillment, and contribute to special projects that drive operational excellence.

Key Responsibilities

  • Work Order Management: Enter work orders for dental and laboratory handpieces into arenaflex’s proprietary and third‑party software platforms with meticulous attention to detail.
  • Warranty Verification: Review each work order to confirm the validity of customer warranty claims, ensuring compliance with arenaflex’s warranty policies and vendor agreements.
  • Data Accuracy: Populate all required fields accurately, cross‑checking information against source documents, invoices, and service logs.
  • Vendor Coordination: Track warranty work for multiple vendors, maintaining up‑to‑date status reports and escalating discrepancies when necessary.
  • Customer Service Support: Serve as a backup for Customer Service Representatives by handling overflow telephone calls during peak periods, providing courteous and knowledgeable assistance.
  • Microsoft Office Proficiency: Utilize Microsoft Word, Excel, and Outlook to generate reports, manage spreadsheets, and communicate effectively with internal teams.
  • Special Projects: Participate in cross‑functional initiatives, process improvement efforts, and ad‑hoc tasks that enhance the efficiency of the MSO (Managed Service Organization) function.
  • Documentation & Reporting: Generate daily and weekly summaries of work order activity, warranty claim status, and vendor performance metrics for management review.

Essential Qualifications

  • High school diploma or equivalent; additional coursework in business administration, health services, or related fields is a plus.
  • Demonstrated experience in a data entry, administrative, or customer support role, preferably within a dental, medical, or technical service environment.
  • Proficiency with Microsoft Office Suite, especially Excel (basic formulas, data sorting, and filtering).
  • Strong written and verbal communication skills, with the ability to interpret technical documents and convey information clearly.
  • Basic mathematical and logical reasoning abilities to verify warranty calculations and inventory counts.
  • High level of accuracy, attention to detail, and the ability to follow standardized procedures consistently.

Physical Demands & Work Environment

While the role is primarily office‑based, you will spend extended periods seated at a workstation, using a keyboard and mouse.
