Position Overview

We are hiring a Remote Accounting & Travel Operations Specialist who will play a vital dual role within arenaflex. This position is ideal for a highly organized, numbers-savvy professional who also thrives in a client-facing environment. On any given day, you'll be reconciling booking transactions, inputting critical client data, generating insightful reports, and working directly with travelers to plan and coordinate their dream trips.

Key Responsibilities

Accounting & Data Entry

  • Accurately enter, update, and maintain comprehensive client records, booking transactions, payment details, and travel information across internal systems, accounting software, and customer databases.
  • Reconcile booking invoices, vendor statements, and client payments to ensure the integrity of financial records within arenaflex's travel operations.
  • Generate, review, and distribute detailed financial and operational reports related to bookings, customer interactions, revenue tracking, and travel statistics.
  • Perform regular audits of entered data to verify accuracy, identify discrepancies, and resolve any inconsistencies in a timely manner.
  • Support the broader accounting team with bookkeeping tasks, expense tracking, and month-end closing activities as needed.
  • Maintain digital filing systems to ensure organized, secure, and easily retrievable records across accounting and client service functions.

Travel Booking & Itinerary Coordination

  • Assist clients in researching, planning, and booking complete travel itineraries, including flights, accommodations, car rentals, excursions, and exclusive activities.
  • Provide expert recommendations on destinations, seasonal travel trends, travel packages, and value-added services to enhance the client experience.
  • Manage booking modifications, upgrades, cancellations, and special requests, ensuring every detail aligns with the client's preferences and expectations.
  • Coordinate complex multi-destination itineraries, including preparing detailed confirmations, vouchers, and travel documents for clients.
  • Liaise with airlines, hotels, tour operators, and other travel partners to confirm reservations, negotiate rates when appropriate, and resolve any booking-related issues.
  • Stay up to date on travel advisories, visa requirements, and industry changes to provide accurate and timely guidance to travelers.

Customer Service & Client Experience

  • Deliver exceptional, friendly, and professional service to clients via phone, email, live chat, and other communication channels.
  • Address client questions, concerns, and special requests with empathy, efficiency, and a solutions-focused mindset.
  • Proactively follow up with clients before, during, and after their trips to ensure complete satisfaction and gather valuable feedback.
  • Handle last-minute changes, disruptions, and travel emergencies with poise and professionalism, working quickly to find the best resolution for the client.
  • Build lasting relationships with clients, becoming a trusted point of contact for future travel planning needs at arenaflex.

Scheduling & Administrative Support

  • Coordinate and manage complex schedules, including client travel arrangements, internal team meetings, and partner appointments.
  • Prepare polished itineraries, confirmation packets, and travel documents for clients and team members.
  • Track deadlines, deliverables, and key dates to ensure timely execution of all bookings and operational tasks.
  • Provide general administrative support to the operations and accounting teams as needed, contributing to a smooth and efficient workflow.

Essential Qualifications

  • Proven experience in accounting, bookkeeping, data entry, or a similar administrative role, ideally with exposure to the travel, hospitality, or service industry.
  • Solid understanding of basic accounting principles, including accounts receivable, accounts payable, invoicing, and reconciliations.
  • Exceptional attention to detail and a commitment to accuracy in both numerical data and client information.
  • Strong written and verbal communication skills, with the ability to interact professionally and warmly with clients, vendors, and team members.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with accounting software, CRM platforms, and travel booking systems.
  • Demonstrated ability to manage multiple priorities in a fast-paced, remote work environment.

Preferred Qualifications

  • Prior experience as a travel agent, travel coordinator, or in a customer-facing travel operations role.
