Key Responsibilities

Customer Assistance & Communication

Booking Support & Reservation Management

  • Assist customers in booking comprehensive group travel arrangements, including flights, accommodations, ground transportation, activities, excursions, and special experiences.
  • Guarantee precision in all reservations and ensure full alignment with arenaflex policies, supplier agreements, and customer preferences.
  • Coordinate with airlines, hotels, tour operators, and activity providers to confirm availability, pricing, and special requests.

Itinerary Development & Management

  • Develop, refine, and maintain detailed travel itineraries tailored specifically to group preferences, budgetary constraints, and destination-specific requirements.
  • Balance multiple itineraries simultaneously while maintaining exceptional attention to detail.
  • Incorporate destination insights, local experiences, and unique recommendations to elevate every trip.

Problem Resolution & Crisis Management

  • Proactively identify potential travel-related challenges, such as flight delays, accommodation changes, weather disruptions, or documentation issues.
  • Respond swiftly and effectively to minimize disruptions and uphold customer satisfaction.
  • Think creatively and act decisively to find solutions that preserve the integrity of the travel experience.

Stakeholder Communication

  • Foster transparent and effective communication with group leaders, travel coordinators, suppliers, and internal teams at arenaflex.
  • Serve as a reliable point of contact throughout the entire travel journey, from initial inquiry to post-trip follow-up.

Travel Documentation & Compliance

  • Assist travelers in securing necessary visas, permits, passports, and other travel documents, ensuring full compliance with international regulations.
  • Stay current on entry requirements, health protocols, and destination-specific documentation needs.

Destination Knowledge & Recommendations

  • Stay abreast of travel trends, emerging destinations, and seasonal insights to provide valuable recommendations.
  • Share expertise with customers and colleagues at arenaflex to enhance collective knowledge and customer experiences.

Quality Assurance & Record Keeping

  • Verify the accuracy of all bookings, reservations, and travel documents, conducting thorough cross-checks to mitigate errors or oversights.
  • Maintain meticulous records of customer interactions, travel arrangements, and pertinent communications within arenaflex systems.
  • Generate reports and insights to support continuous improvement across the team.

Cross-Functional Collaboration

Essential Qualifications

  • Customer Service Experience: Previous experience in a customer-facing role, preferably in travel, hospitality, or a related service industry. A background in the travel industry is advantageous but not mandatory.
