Position Overview

The Remote Pharmacy Call Center Representative & Data Entry Specialist at arenaflex is responsible for performing information gathering and patient enrollment in compliance with state and federal guidelines. Working under direct supervision, you will handle high-volume customer inquiries, resolve third-party insurance discrepancies, and maintain strict adherence to organizational policies and procedures. This role requires proficiency in using pharmacy systems to access patient and medication information, with specific responsibilities varying based on department assignment.

This is a full-time remote position based out of our Orlando, USA operations, offering a competitive hourly wage of $25-$35 per hour based on experience and performance. You will work standard business hours with occasional flexibility required to meet patient and prescriber needs.

Key Responsibilities

  • Patient Enrollment & Data Entry: Process new patient enrollments by accurately entering information into arenaflex's proprietary systems using established prescription data entry protocols and guidelines. Ensure all data is captured correctly the first time to minimize downstream processing issues.
  • Prescription Order Management: Handle patient medication requests within strict HIPAA regulations, enter refill orders for processing, and investigate to obtain missing prescription information. Decipher medical abbreviations and SIG codes with precision to ensure accurate order fulfillment.
  • Exception Resolution: Resolve all data entry-related exceptions promptly and efficiently, working to maintain high first-pass resolution rates and minimize delays in patient care.
  • Multi-Channel Communication: Handle correspondence with patients through multiple channels including inbound calls, in-person visits, and emails. Make outbound calls to prescribers and patients on a case-by-case basis to resolve outstanding issues.
  • Third-Party Rejection Resolution: Resolve Third Party Rejections by assessing each situation, gathering necessary information, making appropriate corrections, and resubmitting for processing according to individual plan requirements. Make phone calls to insurance providers and other parties to obtain information, secure override approvals, or otherwise resolve Third Party Rejections.
  • Pharmacist Support: Provide assistance to Pharmacists, both those on-site and those in remote locations. Identify and communicate issues to senior-level staff as appropriate, escalating complex situations that require clinical judgment.
  • Compliance & Licensing: Obtain an active technician license or certification within the initial 90 days of employment and maintain an active professional license or certification throughout your tenure at arenaflex.
  • Quality Standards: Maintain high standards of accuracy, productivity, and customer service while adhering to all arenaflex policies, procedures, and regulatory requirements.

Essential Qualifications

To succeed as a Remote Pharmacy Call Center Representative at arenaflex, candidates must meet the following minimum requirements:

  • Education: High School Diploma or GED equivalent.
  • Basic Computer Skills: Demonstrated basic-level PC proficiency including the ability to start up and shut down computers, use a mouse to point and click, launch and close programs, switch between applications, save files, print documents, and access information online.
  • Web Browser Competency: Essential web browser skills including opening a browser, typing URLs in the correct location, using search engines, bookmarking websites, navigating using back/forward/stop buttons, and completing online forms.
  • Keyboarding Speed: Intermediate-level keyboarding skills with a minimum of 25 words per minute (WPM), including typing by memory and organizing documents accurately.
  • Communication Skills: Strong written and verbal communication abilities in English, with the capacity to convey complex information clearly and compassionately.
  • Age Requirement: Must be 18 years of age or older.

  • Certification & Registration: A minimum of 18 months working as a pharmacy technician with certification or registration by the State Board of Pharmacy or a nationally recognized certification body such as PTCB (Pharmacy Technician Certification Board).
  • Customer Service Excellence: Proven experience providing exceptional customer service to both internal and external customers, including meeting quality standards for services and evaluating customer satisfaction.
  • Advanced Keyboarding: Intermediate to advanced keyboarding skills with a minimum of 35 WPM, including typing by memory and organizing complex documents with high accuracy.
  • Bilingual Skills: Fluency in both Spanish and English is highly valued, as it enables arenaflex to better serve our diverse patient population across multiple communities.
  • HIPAA Knowledge: Prior experience working with HIPAA regulations and protected health information in a professional setting.
