Key Responsibilities

As a Remote Virtual Receptionist & Data Entry Clerk, you will be the first point of contact for internal and external stakeholders. Your daily duties will include, but are not limited to:

  • Maintain comprehensive knowledge of the IT department structure, identifying leaders and team responsibilities to route inquiries accurately.
  • Sort, scan, and distribute mail and internal correspondence across the arenaflex corporate campus and satellite locations, ensuring timely delivery.
  • Manage postage accounts and outgoing/incoming mail to guarantee cost‑effective and reliable mailing operations.
  • Monitor and replenish office supplies in common areas, keeping workspaces clean, organized, and fully stocked.
  • Coordinate IT meeting logistics, setting up virtual rooms, equipment, and removing setups once meetings conclude.
  • Create, issue, and replace ID badges for IT employees, maintaining accurate records and security protocols.
  • Provide reception desk coverage, answering phone calls, directing visitors, and managing employee and visitor badge issuance and deactivation.
  • Execute data entry tasks with high accuracy, entering information into internal systems, spreadsheets, and databases.
  • Adhere to arenaflex privacy and security policies, handling confidential information with discretion and compliance.
  • Perform additional duties as assigned, demonstrating flexibility and a proactive attitude.

Essential Qualifications

To succeed in this role, candidates must demonstrate the following core competencies and experiences:

  • High School Diploma or GED (or an equivalent combination of education and experience).
  • Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel.
  • Exceptional typing speed and accuracy for efficient data entry.

Physical & Work Environment Requirements
