Key Responsibilities

  • Guest Communication Management: Respond to all guest inquiries via text, email, and platform messaging (Airbnb, Vrbo, direct booking portals) within defined SLA windows, maintaining a professional, friendly, and solution‑focused tone.
  • Issue Resolution: Diagnose and resolve guest concerns—ranging from booking discrepancies to on‑site emergencies—following arenaflex’s standard operating procedures and escalating only when necessary.
  • Vendor Coordination: Liaise with local contractors, maintenance teams, and emergency service providers to schedule routine upkeep and urgent repairs, ensuring minimal disruption to guest stays.
  • Turnover Management: Oversee the “turn” process for each property, assigning cleaning crews, confirming completion, and verifying that each unit meets our pristine standards before the next guest arrives.
  • Process Improvement: Contribute ideas and help design new workflows, automation tools, and SOPs that enhance the overall guest experience and operational efficiency.
  • Review Management: Draft and post timely, authentic guest reviews on Airbnb, Vrbo, and other platforms, leveraging positive feedback to boost property visibility and booking rates.
  • Content Creation: Write engaging blog posts for the arenaflex website that showcase property highlights, travel tips, and local attractions, driving organic traffic and brand awareness.
  • Data & Reporting: Maintain accurate records in our CRM, Notion, and Field Scheduling tools, providing weekly performance metrics to the Operations Manager.

Essential Qualifications

  • Minimum 2 years of remote customer service experience supporting U.S.‑based businesses.
  • Demonstrated experience in the vacation‑rental or hospitality industry, with a solid understanding of Airbnb, Vrbo, and similar platforms.
  • Proficiency with Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides, Calendar).
  • Hands‑on familiarity with Slack, Notion, Field Scheduling, and CRM software (e.g., HubSpot, Zoho).
  • Reliable high‑speed internet, a quiet workspace, and a headset that delivers crystal‑clear audio with minimal background noise.
