About the Role

This position sits at the heart of the arenaflex customer experience. As a Chat Call Customer Support Specialist, you will serve as the primary point of contact for our valued customers, sales representatives, and internal partners. Your mission is simple yet vital: ensure every customer interaction reflects the quality, care, and craftsmanship that define the arenaflex brand. You will manage order processing through our proprietary systems, respond to product and pricing inquiries, resolve concerns with empathy and efficiency, and build long-lasting relationships that keep our customers coming back.

You'll collaborate daily with our sales team, technical support specialists, and collections personnel to expedite orders, troubleshoot challenges, and deliver solutions that exceed expectations. Key Responsibilities

  • Order Management Excellence: Process customer purchase orders accurately and efficiently using arenaflex's proprietary order-entry systems, ensuring every transaction is handled with precision from entry through fulfillment.
  • Customer Communication: Handle a high volume of incoming calls, chat sessions, and emails each day, addressing customer queries with warmth, professionalism, and product knowledge while providing clear and timely information.
  • Cross-Functional Collaboration: Partner closely with sales representatives, sales management, technical support teams, and collections personnel to expedite orders, resolve issues, and ensure smooth order flow.
  • Inventory Coordination: Process purchase orders and manage restock requests for inventory, working with internal teams to maintain optimal stock levels and minimize fulfillment delays.
  • Problem Resolution: Analyze customer situations, identify root causes, and deliver effective solutions — including coordinating consolidated shipments from various suppliers and ensuring accurate export documentation.
  • Relationship Building: Cultivate long-term customer relationships by gathering feedback, conducting follow-ups, and proactively addressing concerns to ensure complete customer satisfaction.
  • Product & Pricing Expertise: Answer detailed questions about product specifications, pricing structures, availability, and custom options across arenaflex's full range of furniture, window coverings, and design services.
  • Contract Administration: Execute contract maintenance activities and proactively inform customers of any pricing or contract changes that may affect their accounts.
  • Multi-Tasking Mastery: Balance multiple priorities throughout the day, managing simultaneous customer interactions while maintaining a high standard of accuracy and responsiveness.
  • Continuous Improvement: Take on additional duties and special projects as assigned, contributing ideas that enhance the customer experience and streamline team operations.

Essential Qualifications

  • Outstanding Telephone Etiquette: Demonstrated excellent telephone skills with the ability to handle multiple daily inbound and outbound calls in a positive, professional, and courteous manner.
  • Microsoft Office Proficiency: Working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook, with the ability to learn new software systems quickly.
  • Communication Skills: Exceptional verbal and written communication abilities, with strong follow-up skills that keep customers informed and engaged throughout their journey with arenaflex.
  • Attention to Detail: Ability to write legibly with correct spelling, grammar, and punctuation across all customer-facing communications and internal documentation.

Preferred Qualifications

  • Prior experience in customer service, order processing, or inside sales — ideally within home furnishings, interior design, retail, or a related lifestyle industry.
  • Familiarity with ERP systems, CRM platforms, or proprietary order-entry software.
  • Experience supporting a sales team or working in a B2B customer service environment.
  • Knowledge of window coverings, furniture products, or interior design terminology.
  • Previous experience coordinating export documentation and international shipping logistics.
