[Remote] Operations & Finance Manager
Note: The job is a remote job and is open to candidates in USA. Evermore For All is a nonprofit dedicated to improving the lives of bereaved individuals through research and social change. The Operations & Finance Manager will provide essential administrative and financial operations support, ensuring the organization maintains financial rigor and well-organized systems during a pivotal growth period.
Responsibilities
- Coordinate Board and executive team meetings, including scheduling, materials preparation, agenda setting, minute-taking, and follow-up
- Maintain accurate, confidential organizational records, databases, and shared files with version control and access protocols
- Respond to general inquiries via phone and email, routing appropriately to leadership or program teams
- Assist with program and event coordination, including vendor communications and attendee logistics
- Support grant-related reporting, documentation, and compliance deadlines as directed by leadership
- Maintain Evermore’s donor management system with accurate, current contact information
- Other duties as assigned to support organizational operations
- Collect, categorize, and upload all receipts and expenses to the tracking system within 48 hours of incurrence
- Process 1099 contractor and vendor invoices, verifying deliverables against contracts and matching invoices to purchase orders before forwarding to the Executive Director for approval
- Maintain a current list of all outstanding invoices and payments due; provide weekly summaries to leadership for cash flow planning
- Process routine vendor invoices, reimbursement requests, and check requests; coordinate with the accounting team on GL coding and reconciliation
- Maintain a centralized contract registry for all 1099 contractors, vendors, and service providers; ensure all agreements are signed before work begins; track contract milestones and deliverables; flag scope changes or budget variances immediately
Skills
- 2–3 years of administrative or office support experience, preferably with nonprofit organizations or small teams
- Demonstrated experience processing invoices, tracking expenses, and supporting financial administration
- Experience managing contracts, vendor agreements, or legal file systems
- Proven ability to manage calendar logistics, prepare meeting materials, and take accurate minutes
- Highly organized and detail-oriented, with experience handling confidential and sensitive information
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office, Google Workspace, and comfort learning new software systems
- Self-directed and able to manage multiple competing priorities independently
- Experience working with multiple 1099 contractors or vendors simultaneously
- Experience with platforms such as QuickBooks, Bill.com, and CRM systems
- Nonprofit financial management or grant administration experience
- Event planning or program coordination experience
