[Remote] Facility Services Director - Operations

CoolSys is a leading provider in refrigeration and HVAC systems, addressing complex challenges in energy management and facility services. The Facility Services Director - Operations will oversee the delivery of facility services through a network of vendors, ensuring operational performance and client satisfaction while managing financial outcomes and compliance.
Responsibilities
- Own the day-to-day operational performance of all facility service programs across a multi-site, multi-vendor portfolio
- Establish and enforce service delivery standards, KPIs, and SOPs for each service line (janitorial, landscaping, HVAC, electrical, plumbing, security, etc.)
- Drive on-time, on-budget, and on-scope execution by monitoring work order completion rates, response times, and quality scores
- Oversee emergency and reactive maintenance protocols, ensuring rapid vendor mobilization and client communication
- Partner with client accounts to understand evolving needs and translate them into operational requirements
- Ensure the Service Delivery model is executed with precision including People, Process & Technology
- Build and manage a preferred-vendor network, including sourcing, qualification, onboarding, and ongoing performance management
- Negotiate master service agreements, task orders, and change orders to optimize cost, scope, and risk allocation
- Conduct regular vendor business reviews (QBRs) using scorecards covering quality, compliance, safety, and financial performance
- Manage vendor corrective action plans and, where necessary, vendor transitions or terminations
- Maintain competitive bidding practices and market benchmarking to ensure cost competitiveness
- Ensure all subcontractors carry appropriate licensing, insurance, and certifications; maintain a current compliance database via Utilize Core application
- Own the operations P&L, including budgeting, forecasting, cost control, and margin optimization across vendor spend
- Drive labor and material cost efficiency through consolidation, rebidding, and process automation initiatives
- Analyze financial variances, identify root causes, and implement corrective measures to protect profitability
- Collaborate with Finance on monthly close, accruals, and reporting, present operational financial results to senior leadership
- Identify and pursue opportunities for organic revenue growth through expanded scope and service line additions
- Collaborate on cost models with Sales team to ensure appropriate balance between profitability and selling success
- Implement and oversee a formal QA/QC program including site inspections, audits, and client satisfaction surveys (i.e. Smart Inspect. Site photos, CAPA)
- Ensure all operations comply with applicable federal, state, and local regulations (OSHA, EPA, EEOC, ADA, etc.)
- Maintain and continuously improve documented processes, safety programs, and training curricula
- Track and investigate incidents, near-misses, and client complaints; ensure timely root-cause analysis and resolution
- Drive ISO, LEED, CMMS or other relevant certifications/compliance programs as required by client contracts
- Recruit, develop, and retain a high-performing operations team
- Set clear performance expectations, conduct regular reviews, and build succession pipelines for critical roles
- Foster a culture of accountability, continuous improvement, and customer-first service delivery
- Champion diversity, equity, and inclusion in hiring, vendor selection, and team development
- Partner with Sales and Business Development to support new client pursuits, RFP responses, and contract renewals
- Contribute to annual strategic planning, setting operational objectives aligned with company growth targets
- Collaborate with Technology on Utilize Core software implementation, data analytics, and workflow automation
- Represent Operations in executive leadership meetings; provide data-driven insights and recommendations
Skills
- Bachelor's degree in Facilities Management, Business Administration, Engineering, Operations Management, or a related field; or equivalent combination of education and experience
- 10+ years of progressive experience in facility services, property services, or outsourced services operations
- 5+ years of P&L ownership and vendor/subcontractor management in a multi-site environment
- Demonstrated ability to manage large vendor networks (-50+ active subcontractors) across geographically dispersed portfolios
- Deep knowledge of facility services trade disciplines (MEP, janitorial, landscaping, security, etc.)
- Strong financial acumen with experience managing budgets in excess of $20M
- Proven track record of building and leading high-performing operations teams
- Exceptional negotiation, contract management, and supplier relationship skills
- Proficiency with CMMS, FM platforms (e.g., ServiceMax, Corrigo, MRI, IBM Maximo), and data analytics tools
- Bachelor's degree
- Certified Facility Manager (CFM), PMP, or Six Sigma Green/Black Belt certification
- Experience in a national integrated facility management (IFM) or managed services model
- Background in commercial, healthcare, government, or industrial facility environments
