Position Overview

The Remote Data Entry Specialist at arenaflex is a pivotal member of our Data Operations team. You will be responsible for entering, validating, and maintaining a wide variety of data sets that support critical business processes, from customer relationship management to supply chain analytics. Your work will directly influence the reliability of our reporting, the efficiency of our workflows, and the overall trust our stakeholders place in arenaflex’s data ecosystem.

This role is ideal for individuals who possess a meticulous eye for detail, a passion for accuracy, and the ability to thrive in a fast‑paced, remote environment. You will collaborate closely with data analysts, quality assurance experts, and project managers to ensure that every data point is captured correctly, securely, and in compliance with our internal policies and industry regulations.

Key Responsibilities

  • Data Capture & Entry: Accurately input large volumes of information from diverse sources—including spreadsheets, PDFs, scanned documents, and web forms—into arenaflex’s master databases and cloud‑based platforms.
  • Data Validation & Cleansing: Perform routine checks to verify completeness, consistency, and correctness of data; correct, delete, or re‑enter records as needed to eliminate errors.
  • Confidentiality & Security: Uphold strict confidentiality standards by handling sensitive personal and corporate information in accordance with GDPR, CCPA, and arenaflex’s internal data protection policies.
  • Document Management: Organize, label, and file electronic documents and records using standardized naming conventions and folder structures to facilitate easy retrieval and auditability.
  • Backup & Recovery: Execute regular data backup procedures, monitor backup logs, and assist in recovery operations to safeguard against data loss.
  • Collaboration & Issue Resolution: Work hand‑in‑hand with teammates to identify, investigate, and resolve data discrepancies, ensuring that root causes are documented and addressed.
  • Process Improvement: Contribute ideas and feedback to refine data entry workflows, develop SOPs (Standard Operating Procedures), and implement automation opportunities where feasible.
  • Training & Knowledge Sharing: Participate in onboarding sessions for new hires, share best practices, and stay current on emerging data entry tools and techniques.
  • Performance Monitoring: Track personal productivity metrics such as entries per hour, error rates, and turnaround times, striving for continuous improvement.

Essential Qualifications

  • High school diploma or equivalent; additional certifications in data management, office administration, or related fields are a plus.
  • Minimum of 1–2 years proven experience in data entry, transcription, or a comparable role where accuracy was a core performance metric.
  • Typing speed of at least 60 words per minute with a high level of accuracy (error rate ≤ 2%).
  • Proficiency with data entry software (e.g., Microsoft Excel, Google Sheets, proprietary CRM platforms) and familiarity with basic database concepts.
  • Strong command of Microsoft Office Suite, especially Word and Excel, including formulas, pivot tables, and data validation features.
  • Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.
  • Excellent organizational skills, with the capacity to manage multiple data streams and meet tight deadlines.
  • Effective written and verbal communication skills, enabling clear interaction with remote teammates and supervisors.
  • Self‑motivation and the ability to work independently while also thriving in a collaborative, virtual team setting.

Preferred Qualifications & Additional Skills

  • Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related discipline.
  • Experience with data quality tools such as OpenRefine, DataCleaner, or similar platforms.
  • Familiarity with basic scripting or macro development (e.g., VBA, Python) to automate repetitive tasks.
  • Knowledge of data privacy regulations (GDPR, CCPA) and best practices for secure data handling.
  • Previous exposure to remote work environments, including proficiency with collaboration tools like Slack, Microsoft Teams, and Zoom.
  • Ability to quickly learn and adapt to new software applications, cloud‑based storage solutions, and evolving data standards.

Core Competencies for Success

  • Attention to Detail: A relentless focus on precision, ensuring that each entry is error‑free and aligns with established data standards.
  • Analytical Mindset: Ability to spot patterns, inconsistencies, and anomalies that may indicate larger data quality issues.
  • Time Management: Efficiently prioritize tasks, manage workload, and meet daily and weekly production targets without sacrificing quality.
  • Problem‑Solving: Proactively identify obstacles, propose practical solutions, and follow through to resolution.
  • Communication: Clear articulation of issues, progress updates, and suggestions to both technical and non‑technical stakeholders.
  • Adaptability: Comfort with shifting priorities, evolving processes, and new technology implementations.
