Board Engagement & Outreach Logistics Specialist

PMI is looking for a mid to senior-level individual contributor responsible for managing and executing all logistical activities related to speaking engagements and outreach events for PMI’s Board of Directors. This role collaborates with cross-functional teams across PMI and with PMI chapter representatives to ensure seamless coordination, execution, and communication of the Board’s engagement, and will continuously improve processes to meet organizational needs. What you’ll bring to the role: Develop and maintain a dynamic calendar and dashboard of Board engagements aligned with the PMI Outreach Plan and the Annual Board Communications plan, incorporating real-time updates. Document and communicate Board speaking and engagement assignments based on requestors’ interests, availability, and strategic priorities. Collect and maintain visa requirements, travel information, Chapter Fact Sheets and other preparatory materials for chapter and regional events. Partner with regional teams, and other organizational partners to create culture and travel briefing materials. Arrange gift and adhere to cultural protocols for events. Compile, analyze, and report on trends and finding from Board outreach events, ensuring actions are tracked and communicated. Manages the Smartsheet tool used to automate and optimize the process, produces dashboards and continuously improves board members’ experiences Role Qualifications: Bachelor's degree desired; postgraduate business degree preferred 5+ years of board or executive level communication experience in global, multi-market business environments Experience leading dispersed teams across geographies Smartsheet expertise is a plus Strategic thinker with strong commercial acumen and problem-solving skills Expert in building and managing partnerships that drive revenue Excellent communicator with strong presentation and negotiation abilities Comfortable with ambiguity and energized by change Fluent in English (PMI's business language) Results-driven with a positive, resilient mindset Travel up to 5% (team meetings) What you can expect from us We value and nurture an environment of inclusivity and diversity, and a culture of communication and collaboration.
