Why This Role Matters

As a Remote Data Entry & Customer Care Specialist at arenaflex, you will be the critical link between the artistic vision and the manufacturing floor. Your meticulous attention to detail, organizational prowess, and proactive communication will keep the flow of artwork, assets, and documentation seamless, enabling our production teams to meet tight deadlines while maintaining the highest quality standards.

Key Responsibilities

  • Collect, label, categorize, and package all artwork—including character designs, props, and set layouts—for shipment to manufacturing facilities.
  • Maintain asset documentation, upload files to the internal asset management system, and prepare files for background painters and color stylists.
  • Ensure all artwork files adhere to standardized naming conventions and file formats, guaranteeing consistency across the pipeline.
  • Assist in the creation and upkeep of design inventories, tracking revisions and version control.
  • Take detailed notes during vendor calls, animation reviews, and cross‑functional meetings (Zoom, Teams, etc.) and distribute actionable summaries.
  • Secure director approvals on artwork and circulate final assets to relevant stakeholders.
  • Provide reference materials and supplemental resources to artists as needed.
  • Pull “same as” references and perform line‑cleaning tasks on virtual artwork to maintain visual fidelity.
  • Communicate any production delays promptly to the production manager or supervisor.
  • Archive completed artwork efficiently, ensuring easy retrieval for future projects or award submissions.
  • Identify opportunities to streamline pipelines, suggest workflow efficiencies, and flag potential bottlenecks.
  • Assist in preparing assets for award submissions, ensuring compliance with submission guidelines.
  • Update and maintain manufacturing art forums, fostering knowledge sharing across teams.
  • Support morale‑building initiatives organized by the line producer or production manager.
  • Perform any additional duties assigned by the line producer or production supervisor, adapting quickly to evolving project needs.

Essential Qualifications

  • Proven ability to manage multiple tasks simultaneously in a fast‑paced environment.
  • Strong organizational skills with a keen eye for detail and accuracy.
  • Excellent verbal and written communication abilities; comfortable interacting with artists, vendors, and senior leadership.
  • Demonstrated flexibility and a positive attitude when faced with changing priorities.
  • Experience working remotely or in distributed teams, with self‑motivation and discipline.

Preferred Qualifications & Experience

  • Familiarity with Mac or PC operating systems and proficiency in file‑management best practices.
  • Hands‑on experience with industry‑standard software such as Final Draft 9.0, Adobe Acrobat Pro, Photoshop, Illustrator, and Toon Boom Storyboard Pro.
  • Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) for reporting and documentation.
  • Previous exposure to pre‑manufacturing or asset‑tracking workflows within an entertainment or animation studio.
  • Understanding of basic production pipelines, including asset hand‑off, version control, and quality assurance processes.
