About the Role

We are seeking a 3-month contractor to provide hands-on administrative and coordination support for ESE portfolio activities. This role will support day-to-day coordination needs, including follow-up with teams, data collection, roster maintenance, materials coordination, tracking, and other activities needed to keep work organized and moving efficiently. This role will require frequent communication with executives, senior leaders, and cross-functional stakeholders. The ideal candidate must have strong written and verbal communication skills, professional judgment, attention to detail, and the ability to follow up clearly and confidently on behalf of the team.

Key Responsibilities

Provide administrative and coordination support for ESE portfolio activities Communicate professionally with executives, senior leaders, and cross-functional stakeholders Follow up with teams and stakeholders to collect requested data, updates, or missing information Help locate, organize, and share relevant materials, documents, and references Support roster updates, validation, and maintenance Track open coordination items and help ensure follow-ups are completed Assist with manual data-gathering and status-collection activities Maintain simple trackers, lists, notes, or documentation as needed Escalate blockers, missing information, or delays to the appropriate team members Support ad hoc administrative tasks related to ESE operations and portfolio coordination

Required Qualifications

Strong written and verbal communication skills, including the ability to interact professionally with executives and senior leaders Strong organizational skills and attention to detail Experience providing administrative, coordination, project support, or operations support Ability to follow up professionally, consistently, and confidently with multiple stakeholders Comfortable drafting clear messages, status updates, reminders, and follow-up communications Comfortable working with spreadsheets, trackers, shared documents, and collaboration tools Ability to manage multiple small tasks and open items at the same time Professional judgment, discretion, and reliability when handling stakeholder communications Self-directed and able to work with limited day-to-day supervision

Preferred Qualifications

Experience supporting executives, senior leaders, engineering, technology, program management, operations, or enablement teams Familiarity with tools such as PowerPoint, Excel, SharePoint, Teams, Outlook, Jira, Confluence, AI prompt tools (ChatGPT, Copilot, Gemini), or similar enterprise platforms Experience maintaining rosters, team lists, reporting inputs, or operational trackers Prior contractor support experience Engagement Summary This is a 3-month contractor role intended to provide hands-on administrative and coordination support for ESE portfolio activities.
