Corporate Event Specialist

DESCRIPTION: Margas Corporate Events is a corporate event strategy and planning agency. Our mission is to create authentic and impactful experiences that strengthen the connection between a business and their story, their brand, and their customer. Focused in the clean energy sector, MCE helps rapidly growing technology companies enter the corporate trade show and events space with intention and impact. We aim to inspire collaboration, deliver innovation, and set new industry standards by crafting unique and visionary event strategies tailored to our client’s unique objectives. Our team is seeking an experienced, highly organized, and strategic-minded event professional to lead end-to-end planning and execution for corporate user conferences for our clients. At this time, we will need support for 5-7 hours per week, starting in May 2026. These hours will fluctuate based on demand. Hourly wage is $35-$50/hr, depending on experience. This position is fully remote, and contracted. RESPONSIBILITIES:

  • Support the end-to-end planning and execution of User Conferences, Customer Advisory Boards, Internal Team Offsites, Annual Forums, etc.
  • Coordinate project timelines, task trackers, and planning documents to ensure deadlines are met
  • Serve as a point of contact for vendors, venues, and event partners
  • Assist with speaker coordination, including scheduling, asset collection, presentation deadlines, and pre-event communications
  • Support attendee communications such as registration confirmations, logistical reminders, travel details, and onsite information
  • Help maintain registration lists, reporting, and attendee data accuracy
  • Partner cross-functionally with marketing, sales, customer success, product, and executive teams to align event deliverables and priorities
  • Prepare onsite materials including agendas, badges, signage, run-of-show documents, and staff briefing materials
  • Provide onsite event support, including setup, registration management, speaker support, vendor oversight, and real-time troubleshooting
  • Track expenses and support budget management, invoice processing, and reconciliation
  • Assist with post-event wrap-up, including survey distribution, reporting, and internal debrief documentation

SKILLS AND QUALIFICATIONS

  • Must have at least 2 years experience leading a corporate user conference or closely-related customer event.
  • 4+ years of experience as an Event Manager or similar role, with a track record of successfully executed events. Experience in the clean energy industry preferred.
  • Bachelor's degree in Marketing, Event Management, Hospitality, or a related field.
  • Confidence managing complex moving pieces, multiple stakeholders, and live event environments
  • Excellent verbal and written communication skills; ability to articulate ideas clearly and concisely.
  • Meticulous attention to detail with strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills, with the ability to think on your feet and make quick decisions.
  • Proficient in Microsoft Office, Slack, Asana, and CRM (Hubspot/Salesforce preferred)
  • Experience managing and adhering to a budget
  • Innovative thinker with the ability to bring fresh ideas to the table
  • Upbeat attitude with the ability to work in a fast-paced environment
  • Willingness to travel and work flexible hours when on show site, about 2-4 times a year
