About the Role:The Field Project Coordinator supports the planning, execution, and closeout of field service projects. This role works closely with the Field Service Operations Manager, Estimator/Project Manager, accounting team, and field crews to ensure projects are properly resourced, organized, and completed efficiently. This is a fast-paced, detail-driven role that requires strong organization, communication, and follow-through. Responsibilities:
  • Support the Estimator/Project Manager in transitioning awarded projects from proposal to execution by confirming scope requirements, materials, and equipment needs
  • Review awarded and upcoming jobs using internal folders, field service schedules, and weekly updates to ensure readiness for execution 
  • Coordinate with the Field Service Manager and Estimator/Project Manager to plan project timelines, crew availability, and overall job readiness prior to mobilization 
  • Source and confirm availability of required materials and rental equipment based on project needs 
  • Obtain vendor quotes and submit necessary information to accounting, including pricing and PO requirements 
  • Ensure all quotes and purchase orders are properly documented and filed within each job’s folder 
  • Coordinate the pickup or shipment of materials and equipment to job sites, including tracking deliveries and confirming arrival 
  • Follow up with vendors and internal teams to resolve any delays, track change orders, shortages, or discrepancies prior to job start 
  • Coordinate crew travel arrangements
  • Support the Field Service Operations Manager with ongoing scheduling adjustments
  • Track project-related expenses and work closely with accounting to ensure invoices are received and added to job’s expense folder
  • Follow up on outstanding invoices or discrepancies to maintain accurate job cost tracking 
  • Compile and organize reliability and project documentation using Raken, email correspondence, and other relevant sources 
  • Ensure all required documentation is accurate, complete, and uploaded in a timely manner throughout the project lifecycle 
  • Assist in preparing documentation for project closeout and internal reporting 
  • Provide timely updates on project status, materials, logistics, and any issues requiring escalation 
  • Monitor and coordinate truck maintenance and repairs, including scheduling service and reviewing required maintenance checklists 
  • Support company marketing efforts by drafting and scheduling LinkedIn posts highlighting project milestones, employee achievements, and company updates 
  • Assist other employees and departments with tasks as needed
Requirements:
  • Previous experience in project coordination, field service, or similar environment preferred 
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously 
  • Excellent communication and follow-up skills 
  • Experience with procurement, logistics, or vendor coordination preferred 
  • Proficiency in Microsoft Office and SharePoint
  • Experience with field service reporting tools such as Raken is a plus
