About The Role

We are seeking a highly organized, positive, and collaborative Event Producer to join our Chain Store Age brand team. This role is crucial to the successful execution of 2-3 nationally based conferences.

The Event Producer will work closely with all brand stakeholders including sales, marketing and customers, owning key parts of the event execution timeline, ensuring adherence to budget, and managing critical relationships with exhibitors and sponsors. The ideal candidate is a proactive problem-solver with a strong "can-do" attitude and a proven track record in complex in-person event production.

Key Responsibilities

Event Production & Logistics

  • Tactical Execution: Lead the end-to-end production of assigned show elements, ensuring high-impact delivery for all in-person events.
  • Production Management: Partner with the Show Director to develop and oversee event timelines, production schedules, and comprehensive budget tracking.
  • Floor Plan & Exhibit Management: Own the exhibitor lifecycle from floor plan generation (using ExpoCAD) to booth selection, onsite fulfillment, and final teardown.
  • Vendor & Resource Sourcing: Source and manage internal resources and external suppliers, negotiating contracts to ensure deliverables remain on-budget and on-schedule.
  • Operational Oversight: Manage critical housing logistics, including hotel block reviews, waitlist management, and attendee communications.
  • Digital Integration: Oversee weekly updates for event digital assets, including the website, mobile app, and gamification features.
  • Strategic Problem Solving: Proactively identify and resolve logistical bottlenecks during both the planning and execution phases.

Exhibitor & Sponsor Success

  • Deliverable Management: Serve as the primary point of contact for sponsors and exhibitors, ensuring all contracted assets (logos, profiles, AV needs) are collected and executed flawlessly.
  • Communication & Education: Author and distribute all essential exhibitor documentation, including Show Kits, FAQs, and technical platform training.
  • Compliance & Policy: Communicate and enforce show policies while working with Finance to reconcile payments and secure booth assignments.
  • Stakeholder Collaboration: Work across internal teams to facilitate networking surveys and attendee list distribution for new partners.
  • Technical Liaison: In partnership with the Show Director, manage AV and technical requirements for presenters to ensure a seamless stage experience.

Job Requirements

  • Experience: 3+ years of professional in-person event experience, specifically within trade shows and large-scale conferences.
  • Virtual Proficiency: 1+ years of experience managing virtual events.
  • Technical Savvy: Advanced experience with complex event platforms (e.g., ExpoCAD) beyond standard webinar tools.
  • Education: Bachelor’s degree required.
  • Industry Knowledge: Experience within CPG, Retail, Pharmaceutical, or Hospitality industries is a significant plus.
  • Soft Skills: A highly collaborative problem-solver with a "can-do" attitude and the ability to remain composed in high-pressure environments.
