Job Overview

The Customer Service and Dispatch Representative will be responsible for handling a wide range of customer service requests, including appointment booking, customer questions, complaints, and billing inquiries. The successful candidate will possess excellent communication and interpersonal skills, with the ability to work effectively in a team environment and make decisions based on established guidelines and procedures. As a representative of arenaflex, you will be the first point of contact for our customers, and your goal will be to resolve customer issues with one-call resolution, ensuring the highest level of customer satisfaction.

Key Responsibilities

  • Answer incoming phone calls from customers and assist with their queries or route calls to the appropriate person
  • Maintain good customer relations by providing exceptional support and resolving customer concerns in a professional and courteous manner
  • Handle and resolve a variety of customer concerns, complaints, and questions via phone, email, chat, or other communication channels
  • Resolve problems by clarifying issues, researching, exploring answers and alternative solutions, implementing solutions, and escalating unresolved issues as needed
  • Maintain customer records by updating account information and ensuring data accuracy
  • Accurately disposition calls and maintain a high level of productivity in a fast-paced environment
  • Continually maintain working knowledge of all arenaflex products, services, and promotions to provide informed support to customers
  • Work to improve accuracy in scheduling and speed of response to ensure seamless customer experiences
  • Demonstrate reliable attendance and on-time job performance, with the ability to work evening and weekend shifts as required
  • Perform similar or other duties as needed or assigned to support the day-to-day operation of the Center

Essential Qualifications

To be successful in this role, you will possess:

  • A high school diploma or equivalent, with at least 1 year of experience working in customer service or another customer-facing environment
  • Experience or training in the use of computers and related systems in an administrative office environment
  • Excellent customer-service, communication, and interpersonal skills, with the ability to communicate effectively with customers, co-workers, and management
  • Effective organizational and time-management skills, with the ability to prioritize work based on service demands and maintain a high level of productivity in a fast-paced environment
  • The ability to multitask, work effectively in a team environment, and make decisions based on established guidelines and procedures

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • An understanding and knowledge of the HVAC/Refrigeration Industry, which would be an asset in providing informed support to customers
  • Previous experience working in a dispatch or scheduling environment, with the ability to work effectively in a fast-paced and constantly changing work environment
  • Experience with customer relationship management (CRM) software or other customer service platforms
