Key Responsibilities

As a Receptionist/Live Chat Representative Intern at blithequark, you will be responsible for the following key duties and responsibilities:

  • Answering incoming telephone calls and directing them to the appropriate person or department in a timely and professional manner
  • Maintaining confidentiality of all pertinent personnel information in accordance with the Privacy Act and established personnel policies
  • Typing documents, reports, letters, and other materials with high accuracy and speed (at least 50 words per minute)
  • Recognizing, responding to, and reporting resident emergency situations immediately
  • Maintaining strict confidentiality on all facility data and adhering to established safety regulations
  • Communicating with and supporting residents, families, visitors, and other stakeholders in a professional and courteous manner
  • Maintaining the privacy of records, conditions, and other information relating to residents, employees, and facility
  • Performing assigned tasks in accordance with policies and procedures, and as instructed by the Administrator
  • Notifying the supervisor of pending absence or tardiness within the time frame described in the personnel handbook
  • Operating copiers, office machines, computers, and other equipment as directed
  • Preparing and mailing statements in accordance with established billing procedures
  • Assisting in preparing time cards and distributing payroll checks
  • Maintaining current files and listings of residents, emergency phone numbers of on-call personnel, key personnel, and other relevant information
  • Greeting visitors, guests, residents, sales people, and others, and monitoring or reporting suspicious persons or situations to the Administrator
  • Receiving, sorting, and distributing mail as directed
  • Referring difficult and conflicting interactions or situations to the Administrator or appropriate department head
  • Conducting annual salary and wage surveys and reporting findings to the Administrator
  • Assisting in reporting complaints and grievances from residents, families, visitors, and partners
  • Assisting with completing forms, reports, and other materials that are not considered essential functions
  • Assisting with supply inventory

Knowledge, Skills, Abilities

As a Receptionist/Live Chat Representative Intern at blithequark, you will be expected to possess the following knowledge, skills, and abilities:

  • Attending and participating in continuing educational programs to keep abreast of changes in your field and maintain current license/certification, as required
  • Attending and participating in mandatory in-services
  • Honoring patients/residents' rights to fair and equitable treatment, self-determination, individuality, privacy, property, and civil rights, including the right to wage complaints
  • Complying with corporate compliance program
  • Reporting job-related functions/tasks that involve occupational hazards, including exposure to blood and body fluids and others as necessary
  • Following established safety regulations, including fire protection and prevention, smoking regulations, infection control, and other relevant guidelines
  • Following established safety procedures when performing tasks and/or working with equipment

Minimum Education and Experience Requirements

To be considered for this internship, you must meet the following minimum education and experience requirements:

  • High school diploma or equivalent
  • At least six (6) months experience in payroll, insurance, and/or clerical position
